Email Logging
Understand how to configure your email sync to ensure seamless action logging between your Gmail or Outlook inbox and your CRM.
Sent Emails
Sending includes a recipient being addressed in the To, CC or BCC lines.
Momentum constituents refers to all Constituents (or Contacts) in a User’s Momentum segments, lists, and prospecting flows.
Staff constituents refers to Organizational staff who are also Constituents in your CRM.
Emails sent from Momentum
Momentum logs all emails sent from our application back to your CRM. Users have the option to configure the action log before the email is sent (the exact fields available depend on the CRM and Organization’s needs).
Multiple recipients: If you add another recipient to your email and that recipient is another (non-staff) Constituent in your CRM, we will log a completed action for that Constituent as well.
For example, if Bob & Alice are both constituents in your CRM and you have received a recommendation to email Alice, and also add Bob in the To, CC or BCC lines, then Momentum will log 2 actions back to the CRM, one for Alice and one for Bob.
Emails sent from Outlook or Gmail
Logging emails sent from Outlook or Gmail is optional and can be turned off across your organization, or for specific users in the organization*. If it is activated for an organization these are the default settings:
Momentum only logs emails sent by your organization’s Momentum Users (i.e. people with a Momentum account)
Momentum will only log emails sent from a User’s Momentum Constituents </aside>
If it is activated for an organization these are the default settings:
Momentum only logs emails sent by your organization’s Momentum Users (i.e. people with a Momentum account)
Momentum will only log emails to any Constituents in your organization's CRM, even if they are not assigned to a user or in the Momentum environment
Momentum will not log any emails sent to Organization Staff that have a Constituent record in your CRM. If you wish to log any emails sent to Staff, they will need to be logged manually.
for RE NXT the source ID’s are matched to a fundraiser record and donor record. If a staff member does not have a fundraiser record in RE but they do have a donor record, we will not exclude them.
for Salesforce we do not do anything.
Here’s an example of this for Blackbaud Raiser’s Edge:
Amy and Christy are staff in the Better Good Organization’s development team. Amy is a Momentum user, Christy is not. Donor 1 is a donor in Better Good’s CRM.
If Amy sends Donor 1 an email, Momentum will log the email.
If Christy sends Donor 1 an email, Momentum will not log the email.
Received Emails
Momentum will log any email replies to any emails sent to momentum
Momentum will log any email replies to any emails sent to momentum if Email logging from Outlook or Gmail is activated
Email Threading
We log emails from the same thread as one action in the CRM per donor. After each reply in the thread we update the action in the CRM automatically.
If two or more donors are on the same email thread, we will log actions for each of them separately.
A new thread is started if:
a new donor is added partway through an email thread. This will log a new action for that donor, from the email in which they were first addressed.
An email thread is ended when:
There are no more replies
The next email in the thread is not addressed. A new thread is started for any donor if they are addressed in a future email in the same thread.
No Momentum users are in the To, From, BCC or CC lines (Momentum will no longer have the access to read the thread)
tl;dr
By default, Momentum logs nearly all emails between your users and donors, both in the application and in your work email client
we filter out emails between constituents with the same email domain (ex, name@givemomentum.com and noname@givemomentum.com)
There are three ways you can configure your email logging
Log all emails between users and donors (auto-log: to, from, cc, & bcc)
Log direct emails between users and donors (auto-log: to, from)
Log Momentum emails only (no Outlook/Gmail auto-logging)
